Tenant Onboarding Process

STEP 1: HOLDING DEPOSIT

For your application to be considered, a Holding Deposit is required. If your application is successful, this Holding Deposit will transfer over to form part of your Tenancy Deposit. The amount varies but is usually equivalent to 1 week’s rent. Once you have confirmed that you want to proceed, we will email you a payment request via our payment system, PayProp.

On receipt of the Holding Deposit, we will hold the property for you for 14 days, in which time, steps 1-4 must be completed.

In the below circumstances, you will risk losing your holding deposit:

  • You give false or misleading information
  • You withdraw your application
  • You take longer than 14 days to complete Steps 1-4

STEP 2: APPLICATION FORM

 

If you’re applying to rent a whole property or if you are a group of students:

Please follow this link and fill in your tenant application form. If any other adults (aged 18+) will be living at the property, they will also need to complete their own application form using this link.

 

If you’re applying to rent a room in a professional house share:

STEP 3: REFERENCING

We have a duty to landlords to ensure that the tenants we place in their property can afford the rent. To do this, we send your details to a 3rd Party Referencing Company.

The referencing company will contact you directly and request any further information that you might need. They will carry out a credit check and verify your employment, amongst other things. If you’re a student then they will check your course ID.

Referencing usually takes 2-7 days depending on how quickly you and your employer can respond to requests.

STEP 4: SIGN UP

Once referencing is complete, we will send your tenancy agreement by email. Once you have digitally signed it, it will be sent on to the next signee.

If we require a guarantor for your tenancy, they will be sent a Guarantor Agreement to sign along with a copy of your signed tenancy agreement.

STEP 5: PAY TENANCY DEPOSIT AND RENT

Once your tenancy agreement has been signed, the remainder of your Tenancy Deposit will be requested along with your first rent payment.

IMPORTANT: Please don’t send your full deposit or rent until requested. We cannot legally collect this from you until after the Tenancy Agreement has been signed.

How much is the Tenancy Deposit?
The Tenancy Deposit will be as advertised, minus the Holding Deposit that you’ve already paid. A payment request with specific amounts will be emailed to you via our payment system, PayProp.

How much is the 1st rent payment?
The monthly rent is as advertised. We collect rent on the 1st of every month. If you move in mid-month, for example the 12th, then we will request a pro-rata payment to cover from your move-in date to month-end. You will then need to pay a full month’s rent on the 1st of every month thereafter. If you move in after the 20th of any given month, your 1st rent payment must cover until the end of the next month.

A payment request with specific amounts will be emailed to you via our payment system, PayProp.

We’re a group of students. How does it work for us?

If you are a group of students and have just signed your tenancy agreement, we won’t request your rent payments and deposits until the month before your tenancy starts.

Your deposit will be as advertised, minus the holding deposit that you have already paid.

We collect all rent monthly on the 1st of each month, starting 1st July. If you want to pay multiple months in advance when you get your loan payments then that’s fine by us.

STEP 6: BOOK YOUR CHECK IN

Once your rent and deposit has been paid, you’re good to go!

Use this link to book your check-in. You can collect keys from our office or meet us at the property.

IMPORTANT: Your check-in must be on or after your tenancy start date, not before.

STEP 7: INVENTORY

Before you move in, an inventory will be taken at your property by a professional inventory clerk and a copy emailed to you. This is to record the condition of the property at the commencement of your tenancy.

If you wish to add any comments to your inventory, you’re welcome to reply to the email (within 7 days) and we will record this information as an amendment to the inventory. Photos are always helpful at this stage!
